AAAA is seeking a mission-aligned, proactive, and highly skilled Executive Assistant to support the Chief Executive Officer. This is a part-time but high-impact role ideal for someone who thrives in a dynamic, fast-paced environment and can anticipate needs, manage complex logistics, and protect the CEO’s time while keeping operations flowing smoothly.
Key Responsibilities:
Executive Support
Manage the CEO’s calendar, including scheduling high-priority internal and external meetings, managing conflicting demands, and ensuring timely preparation
Coordinate all travel logistics (air, hotel, ground transportation), speaking engagements, and events
Organize and maintain executive files, inbox management, and priority tracking
Communications & Liaison
Draft and review professional correspondence, talking points, and briefing documents
Represent the CEO in communications with key stakeholders when appropriate
Maintain confidentiality and act with professionalism in all interactions
Project Management & Operations
Track deliverables, deadlines, and special projects across departments
Support coordination of AAAA events, conferences, and strategic partnerships
Provide light financial and administrative support (invoices, reimbursements, etc.)
Coordinate with other support staff (e.g., executive admin contractor, event coordinators, board liaisons)
Ideal Candidate:
5+ years supporting a senior executive or high-profile leader, ideally in finance, nonprofits, or advocacy sectors
Exceptionally strong written and verbal communication skills
Master organizer with a proactive mindset and strong problem-solving ability
Proficient in Google Workspace, Microsoft Office, Zoom, project tools (e.g., Asana or Trello)
Discreet, trustworthy, and calm under pressure
Experience in wealth management, diversity advocacy, or event execution a plus
