About the Role:
AAAA is seeking a mission-aligned, proactive, and highly skilled Executive Assistant to support the Chief Executive Officer. This is a part-time but high-impact role ideal for someone who thrives in a dynamic, fast-paced environment and can anticipate needs, manage complex logistics, and protect the CEO’s time while keeping operations flowing smoothly.
Key Responsibilities:
Executive Support
  • Manage the CEO’s calendar, including scheduling high-priority internal and external meetings, managing conflicting demands, and ensuring timely preparation
  • Coordinate all travel logistics (air, hotel, ground transportation), speaking engagements, and events
  • Organize and maintain executive files, inbox management, and priority tracking
Communications & Liaison
  • Draft and review professional correspondence, talking points, and briefing documents
  • Represent the CEO in communications with key stakeholders when appropriate
  • Maintain confidentiality and act with professionalism in all interactions
Project Management & Operations
  • Track deliverables, deadlines, and special projects across departments
  • Support coordination of AAAA events, conferences, and strategic partnerships
  • Provide light financial and administrative support (invoices, reimbursements, etc.)
  • Coordinate with other support staff (e.g., executive admin contractor, event coordinators, board liaisons)
Ideal Candidate:
  • 5+ years supporting a senior executive or high-profile leader, ideally in finance, nonprofits, or advocacy sectors
  • Exceptionally strong written and verbal communication skills
  • Master organizer with a proactive mindset and strong problem-solving ability
  • Proficient in Google Workspace, Microsoft Office, Zoom, project tools (e.g., Asana or Trello)
  • Discreet, trustworthy, and calm under pressure
  • Experience in wealth management, diversity advocacy, or event execution a plus
